Multi-location inventory transfers and visibility

We're running 4 warehouses across 2 states and need visibility into stock levels and transfers between locations. Current process is manual spreadsheets emailed back and forth, which is breaking down as we scale.

Specifically:

  • Can FieldPulse track inventory across multiple physical locations?
  • How do we initiate a transfer from Location A to Location B and track it?
  • Can technicians see real-time availability at nearby locations when their primary stock is depleted?

My team can't move forward on scheduling until we solve this. Need something that works without constant phone calls between facilities.

    Happy to help with this. FieldPulse does support multi-location inventory with transfer tracking. Here's how to set it up:

    Step 1: Enable Multiple Locations

    1. Go to Settings → Inventory → Locations
    2. Add each warehouse as a separate location
    3. Assign users to their primary location (they can still see others)

    Step 2: Initiate Transfers

    1. Navigate to Inventory → Transfers → New Transfer
    2. Select source and destination locations
    3. Add items with quantities
    4. Submit — the transfer enters "Pending" status until received

    Step 3: Real-Time Visibility

    Technicians on mobile can view stock at all locations in the Inventory tab. Enable Show All Locations in their role permissions. They'll see current quantities and can request transfers directly from the app.

  • in my experience the mobile view is slow if you have more than 3 locations. we just tell our guys to call the other warehouse instead of waiting for the app to load. not ideal but it works.

    also the transfer receipts don't auto-email like you'd expect. you have to manually send them or the receiving location won't know it's coming.

  • Hi Art — thanks for flagging that. You're right that transfer notifications aren't automatic by default.

    Go to Settings → Notifications → Inventory and enable Transfer Status Updates to auto-notify both locations. This was added in 3.2.

    For the mobile loading issue — if you're still seeing slowness, can you share which device/OS version? We optimized this in the September patch but there may be edge cases we missed.

  • Priya — set this up yesterday. The bulk import worked fine but I'm seeing sync delays of 10-15 minutes between locations. Is this expected?

    Also, can we restrict technicians to only see their primary location by default, with option to view others? Don't want them scrolling through 4 warehouses every time they check a part.

  • Hi Brandon — 10-15 minutes is outside normal sync windows. Check if you have Real-Time Sync enabled in Settings → Inventory → Sync. It should be under 2 minutes.

    For the default view: yes. In each technician's user profile, set Inventory Default View → Primary Location Only. They can still toggle to "All Locations" but it won't clutter their daily workflow.

    If sync delays persist, open a ticket — we may need to check your location configuration for circular references.

  • Adding a pro tip here: we use the Transfer Reason field extensively — codes like "STOCKOUT" or "SEASONAL" let us pull reports on why we're moving inventory. Huge for planning.

    Also: if you're transferring serialized equipment (not just bulk parts), make sure you scan each unit individually. The bulk transfer screen looks similar but serialized items need individual tracking or your audit trail breaks.

  • Confirmed working — sync is now under 2 minutes after enabling real-time. The default location setting is exactly what we needed.
