Assigning Multiple Technicians to a Single Work Order
Hi there. In my experience, most teams start with one-technician-per-job workflows, but as you scale, you will inevitably encounter situations where a single work order requires multiple technicians on-site. What I typically recommend is understanding the configuration options before you need them, because retroactively adjusting assignments can create confusion in your dispatch board and billing.
This article covers the full workflow: enabling multi-assign, creating multi-technician work orders, managing the dispatch view, and understanding how reporting treats these assignments.
Before You Begin
Multi-technician assignment is available on FieldPulse Professional and Enterprise plans. In my experience, teams on the Standard tier often upgrade specifically for this feature once they start handling larger installations or maintenance contracts that require crews.
You will need either Admin or Dispatcher permissions to configure and create multi-technician assignments. Field technicians cannot add additional assignees to a work order they do not own.
Enabling Multi-Technician Assignment
By default, FieldPulse allows only one primary assignee per work order. To change this:
- Navigate to Settings → Work Orders → Assignment Preferences
- Locate the Multi-Assign section
- Toggle Allow Multiple Technicians per Work Order to On
- Select your default assignment behavior:
- Primary + Assistants: One lead technician with supporting technicians
- Equal Partners: All technicians share equal billing and time allocation
- Crew Lead Model: One crew lead with variable team size
In my experience, the Primary + Assistants model works best for most HVAC and electrical contractors, while Equal Partners suits inspection teams and multi-trade jobs.
Creating a Multi-Technician Work Order
Once enabled, the assignment flow changes slightly:
- Create a work order as normal through Work Orders → New Work Order or from a template
- In the Assign To field, select your primary technician
- Click Add Additional Technician below the primary assignment
- Select the secondary technician from the dropdown
- Optionally set Role (Assistant, Secondary, Observer) and Estimated Hours for billing allocation
- Repeat for additional technicians (maximum 6 per work order)
What I typically recommend is setting estimated hours even if you bill flat-rate, because this data feeds into technician utilization reports and helps you understand true labor distribution.
Managing Multi-Technician Jobs on the Dispatch Board
Multi-technician work orders display differently in dispatch:
- The work order appears as a single card with a +N badge indicating additional assignees
- Hovering reveals all assigned technicians
- Drag-and-drop rescheduling moves the entire work order; you cannot split assignments from the board view
- Color coding reflects the primary technician's assignment color

Time Tracking and Labor Allocation
This is where configuration matters most. FieldPulse handles time tracking based on your multi-assign model:

In my experience, teams often discover three months in that their labor reports look inflated because they did not configure the billing model correctly at setup. I would recommend reviewing your first ten multi-technician jobs manually to confirm the numbers match expectations.
Mobile App Experience
Each assigned technician receives the work order in their mobile app. Key behaviors:
- All technicians can update status, but only the primary can mark Complete (configurable in settings)
- Photos and notes sync across all assignees in real-time
- Signature capture is restricted to primary by default; enable Allow Any Technician to Capture Customer Signatures if your workflow requires flexibility
- Checklist completion can be distributed—configure in checklist assignment settings
Reporting and Analytics
Multi-technician work orders appear in reports as follows:
- Work Order Summary: One line item with technician count noted
- Technician Performance: Labor hours credited based on time tracked, not work order count
- Revenue Reports: Split according to labor allocation model

Common Configuration Questions
Can I change assignments after a work order is created?
Yes, through the work order detail view. However, in my experience, changes after technicians have clocked in can create time tracking discrepancies. What I typically recommend is closing the original work order and creating a new one if the team composition changes mid-job.
Do all technicians receive notifications?
Yes, based on your notification settings. Each technician receives assignment, reminder, and status change notifications independently.
How does this affect route optimization?
The route optimizer treats multi-technician jobs as a single stop. Ensure all technicians are starting from the same location, or disable optimization for complex crew dispatches.
